This notice explains how TradeLock handles personal information for visitors, pilot users, and people who contact us.

Who is responsible

TradeLock is currently operated by its founder and small team. We act as the controller for the personal data described here and can be reached through the contact form on the home page.

Information we collect

We collect: details you provide in the contact form (name, email, message); information needed to create or authenticate accounts (name, email, organisation, security credentials); operational data about how you use the dashboards (actions taken, timestamps, status changes, device/browser metadata); and cookies or similar storage strictly required to keep you signed in and secure the service.

How we use information

We use personal data to provide access to TradeLock, respond to enquiries, operate and improve the MVP, maintain security (including fraud and abuse monitoring), meet legal requirements, and keep you informed about significant service changes.

Lawful bases

We rely on performance of a contract (or steps taken at your request) to provide the dashboards and core features, legitimate interests to develop, secure, and market the MVP in a proportionate way, and legal obligations where we must keep records or respond to lawful requests.

Service providers and sharing

We share information with trusted service providers that host our infrastructure, send transactional emails, provide authentication, or support product development. We require them to handle the data safely and only for our instructions. We do not sell personal information.

International transfers

Some providers may process data outside the UK. When they do, we rely on appropriate safeguards such as UK adequacy regulations or standard contractual clauses to protect the information.

Retention

We keep personal data only for as long as needed to run the MVP, support your account, meet legal requirements, or resolve disputes. If you close your account or ask us to delete information, we will remove or anonymise it unless we must keep a record for legal or operational reasons.

Security

We use reasonable technical and organisational measures such as access controls, encryption in transit, and monitoring to protect the service. However, no online platform is perfectly secure, so please use strong passwords and let us know if you suspect an issue.

Your rights

Subject to UK data protection law, you can request access to your data, ask for corrections, request deletion, object to or restrict certain processing, and request a copy in a portable format. You can make these requests via the contact form and we will respond within a reasonable time.

If you have concerns, please contact us first so we can help. You also have the right to raise a concern with the UK Information Commissioner’s Office at ico.org.uk if you are not satisfied with our response.

Cookies and local storage

TradeLock currently uses essential cookies and similar storage (such as Secure HTTP-only cookies and local storage tokens) to keep you signed in, remember session state, and protect against fraud. We do not run separate analytics or advertising cookies at this stage.

Updates

We may update this notice as the product evolves. We will adjust the “Last updated” date and, where the changes are significant, aim to provide additional notice.
